JOB SUMMARY
Perform clerical and accounting work involving research and processing of accounts for tax permits, licenses, utility services, cashiering reviews, vendor statements, P-cards, travel cards, and other accounts payable, review and enter data, process transactions, and provide customer services with significant time devoted to counter and phone customer interaction under basic supervision.

TYPICAL CLASSIFICATION ESSENTIAL DUTIES

       

  • Review, reconcile, and process payments and invoice requests and perform duties within scope of authority and training and in compliance with County policies and quality standards.
  • Verify accuracy of data entry and compare system entries to invoice details.
  • Distribute card statements to appropriate card holders for review.
  • Reconcile and process various financial statements.
  • Conduct special research and analysis projects, summarize data, and generate reports.
  • Post accounting transactions to computer ledgers, review source documents for compliance to rules and regulations, and review and validate proper handling of accounting transactions within designated limits.
  • Check documents for validity and accuracy of information, research and clarify payment requests, perform mathematical calculations, record, file, sort, and distribute related paperwork and documents, and report discrepancies.
  • Maintain accounting and bookkeeping records and filing systems, enter data into computer systems, process transactions, and update accounts.
  • Provide customer services, respond to requests for information, and attempt to resolve them by researching files and records within the scope of authority, update, retrieve, and release information according to procedures, and refer matters requiring policy interpretation to supervisor for resolution.
  • Cross train in other clerical accounting duties and assist with the training and cross-training of Department staff.
  • Supervise the maintenance of financial record systems.
  • Assess fines, fees, and restitution on the system.
  • Maintain absolute confidentiality of work-related issues, customer records, and restricted County information.
  • Perform other related duties as required.

MINIMUM REQUIREMENTS TO PERFORM WORK

  • High school diploma or GED equivalent.
  • Two (2) years of data entry, administrative, and/or customer service experience.
  • Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
Preferred Qualifications:
  • Arizona residents must have a valid Arizona Driver’s License upon hire; newly established Arizona Residents must have one within 30 days of hire.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge, Skills and Abilities 

  • Knowledge of accounting and bookkeeping principles and methods.
  • Knowledge of department policies, procedures, and regulations covering specific areas of assignment.
  • Knowledge of principles of record keeping and records management.
  • Knowledge of techniques in data verification and data entry.
  • Skill in performing mathematical calculations with skill and accuracy and maintaining electronic records and files.
  • Skill in gathering data and verifying information.
  • Ability to maintain accurate accounting records and identify and reconcile errors.
  • Ability to provide effective customer service.
PHYSICAL DEMANDS
The work is sedentary requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.  The work also requires the ability to finger, reach, perform repetitive motion, hear, speak, and demonstrate mental and visual acuity.

The hiring salary for this position is dependent upon experience, qualifications and position funding; starting salaries above the first quartile require additional approval.
